1. Scope of this policy
This policy applies to the practice website at salmanlistens.com and the same website served through themarham.com, salmanhafeez.com, their www addresses, and salmanlistens.lovable.app. It covers website visits, contact inquiries, and introductory-call requests. It does not replace clinical informed consent, telehealth consent, or the Notice of Privacy Practices. Sending an inquiry or requesting a call does not by itself establish a therapist–patient relationship.
2. Information you provide
The contact form requests your name, email address, and brief message. The booking form requests your name, email address, selected time, and any optional phone number or note you choose to provide. Phone or email inquiries may contain contact details and other information you voluntarily share.
Good to include
- Your name and the best email address or phone number for reaching you.
- A sentence or two about what you would like help with.
- Times that could work for a free 15-minute introductory call.
- Questions about fees, availability, or online sessions.
Please leave these out
- Your full address, date of birth, or Social Security number.
- Insurance ID, member, or group numbers.
- Detailed medical or psychiatric history, diagnoses, or medication lists.
- Information about another person without their knowledge.
- Clinical records, identity documents, or other highly sensitive details.
3. Technical information and cookies
When your browser connects to the website or its service providers, technical information such as your IP address, browser and device information, requested pages, connection times, and security or error information may be processed to deliver the site, diagnose problems, and prevent abuse.
The practice does not install advertising trackers, visitor analytics tools, or marketing cookies in the website application. This does not mean that hosting or third-party resources never process technical information or use browser storage. Security providers may use their own technical mechanisms. Browser settings can limit cookies or storage, but doing so may affect the forms.
4. How your inquiry is handled
Messages from the contact form and booking page arrive in my professional email inbox. I read and reply to inquiries myself. Information is used to respond, discuss services, arrange a call, manage scheduling, and protect the website from spam. The application does not save form submissions in a separate website database; email and calendar services still store information as part of providing their services.
A booking request checks Google Calendar availability and creates a tentative calendar hold. Its details include your name, email, any optional phone number or note, and requested time. An email notification is also sent to the practice. The request is not a confirmed appointment until I confirm it with you.
Your information is not sold or rented and is not added to a marketing list. It may be processed by the service providers described below, or disclosed when required or permitted by applicable law. Clinical information is handled under the separate Notice of Privacy Practices and applicable confidentiality rules.
5. Service providers and external links
- Website and email infrastructure: Lovable and its service infrastructure deliver website resources and transactional inquiry emails.
- Scheduling: Google Calendar processes availability checks and calendar holds through the connected scheduling service.
- Spam prevention: Cloudflare Turnstile processes a security challenge and verification token and may process device, browser, and network information to distinguish people from automated traffic.
- Fonts: Google Fonts supplies the website fonts. Loading them connects your browser to Google’s font servers.
These providers have their own privacy terms and may process technical information. This policy does not promise a particular processing location or provider retention period. Provider information: Lovable privacy policy, Google privacy policy, and Cloudflare privacy policy.
Links to Psychology Today and other outside websites lead to services the practice does not control. Their privacy policies apply when you visit them.
6. Security and communications
Standard email is not end-to-end encrypted. Do not treat the contact form, ordinary email, or an introductory-call calendar hold as a secure channel for clinical records. No website or communication system can guarantee absolute security. Keep inquiries brief and ask how to send sensitive information securely.
The practice uses safeguards appropriate to the information and service. Clinical records are kept separately from general website inquiries and are subject to HIPAA and applicable New York requirements. A bot check is a spam-control measure, not a guarantee of confidentiality or clinical security.
7. Retention and your choices
Inquiry information may remain in practice email, scheduling systems, or service-provider records as needed for the purpose, practice administration, and applicable legal obligations. This policy does not establish a fixed deletion or retention period. Clinical records have separate legal requirements.
You can choose not to submit a form, omit optional fields, or ask to use another contact method. You may ask to correct contact information, stop nonessential inquiry follow-up, or request deletion of inquiry information. Requests are considered subject to legal obligations and technical limitations; deletion is not guaranteed. HIPAA rights concerning clinical information are described in the Notice of Privacy Practices.
8. Children and location of care
The website is intended for adults seeking services. It is not directed to children under 13 and does not knowingly solicit their personal information. If you believe a child has submitted information, contact the practice so the situation can be reviewed. Services are online only for New York State residents; clinical suitability and consent are addressed before treatment.
9. Policy changes and questions
Updates are posted on this page with a revised date. Changes do not remove rights provided by law. Contact Salman Hafeez using the details below with questions or requests; identity verification may be needed before discussing or releasing personal information. Please do not email identity documents without first arranging an appropriate method.
